After reading this guide you will be able to record your pharmacy's trading name, address and contact
details, check the two official numbers that identify your pharmacy (its ODS code and GPhC premises
number), and record how and when those numbers were verified.
Who does this? The Business Manager sets this up, and the Responsible Pharmacist can also
change it — the pharmacist is responsible for the premises they are on duty at. Dispensing
technicians and counter assistants cannot open these screens.
Two different kinds of information are being captured here, and the app stores them differently:
The app also keeps a record of how those numbers were verified — who checked them, when, by what
method, and where the evidence is held. That record is what you would show if your registration details
were ever queried, so it is worth completing properly rather than leaving blank.
Where to find these screens. For the roles that may use them, Premises and Verification
appear in the top navigation bar. They are also reachable from buttons on the dashboard.
| Field | What it is for |
|---|---|
| Trading name | The name over the door — how the pharmacy is known to patients |
| Address line 1 / line 2 | Street address; line 2 for a building name or second line |
| Town/city | The town or city |
| Postcode | The premises postcode |
| Telephone | The number patients and colleagues ring |
| Contact email | An address for correspondence about the pharmacy |
For example: a trading name of "Riverside Pharmacy", an address of "1 High Street, Anytown", postcode
"AB1 2CD" — illustrative details only.
You can come back and edit these details at any time; a change is recorded in the app's audit trail.
The verification screen shows two fields:
| Field | What it is |
|---|---|
| GPhC premises number | Your premises registration number with the General Pharmaceutical Council |
| ODS code | The NHS Organisation Data Service code for your pharmacy |
Both are pre-filled from what the platform already holds for your organisation, so if this is not the
first time, check rather than retype. If you are setting up for the first time, enter them from your
registration paperwork.
| Method | When to choose it |
|---|---|
| Manual register check | You checked the number against the GPhC/NHS register yourself |
| Documentary evidence | You worked from a certificate or other document held by the pharmacy |
| Other | Anything else — describe it in the evidence box |
The app stores who recorded the verification, when, the method and your reference. The numbers
themselves are held against your organisation's record, as described above.
| What you see | What it means | What to do |
|---|---|---|
| "Create the premises profile first." | You tried to record a verification before a premises profile exists | Complete Step 1, then return to verification |
| You cannot see Premises / Verification in the navigation or on the dashboard | Your role does not permit it | Ask your administrator to check your role |
| A required field is rejected on save | Trading name, town, postcode and address line 1 are mandatory | Fill in the missing fields and save again |
| The numbers look out of date | The register entry may have changed since it was entered | Re-check the register, then record a fresh verification |
| Information | Where it is kept |
|---|---|
| Trading name, address, telephone, email | On your pharmacy's own system |
| ODS code, GPhC premises number | Against your organisation's record in the platform |
| Who verified the numbers, when, how, and your evidence reference | On your pharmacy's own system |
| An audit entry for each change | On your pharmacy's own system |
Nothing about patients is involved in any of these screens.
