This guide shows how to issue an invoice for VeriPath work that is not billed through the GP Booking App or the Dental App — for example consulting, project work, or other services. Invoicing is done in the VeriPath accounting site (ERPNext) at accounts.veripath.co.uk. An issued invoice is called a Sales Invoice.
Who does this? VeriPath staff with access to the accounting site (Accounts Manager / Accounts User).
Note: all examples in this guide use dummy data.
You land on the desk (the home screen).
Alternatively, use the search bar at the top, type Sales Invoice, and click + New.
| Field | What to enter |
|---|---|
| Customer | The customer being billed. Start typing the name and pick it; if it does not exist, choose Create a new Customer (group: Commercial, territory: United Kingdom). Reuse existing customers rather than creating duplicates. |
| Posting Date | Today's date (set automatically). |
| Due Date | When payment is due — normally auto-filled as 30 days after the posting date (the Net 30 payment terms default). Adjust if needed. |
| Items | Add a row: Item (e.g. Consulting Services), Quantity, Rate. The Amount is calculated for you. |
| Taxes and Charges | If VAT applies, select United Kingdom Tax - VP. If you leave this empty, the invoice is issued without VAT. |
| Terms | Select VeriPath Payment Terms — this fills in the payment note ("due by the date specified on this invoice") and the bank details (Tide, sort code, account number, IBAN, BIC) that print at the bottom of the invoice for the customer to pay by bank transfer. |
Example (dummy data):
Training Client LtdConsulting Services, Quantity 1, Rate £2,400United Kingdom Tax - VPResult: Net Total £2,400 + VAT 20% £480 = Grand Total £2,880.
The invoice is now issued: its status changes to Unpaid and it posts to the ledger (the amount appears under the customer's Debtors account). Only submit when the invoice is final — a submitted invoice cannot be edited (it can be cancelled if needed).
If you need to invoice for a type of work that has no item yet (e.g. implementation, support, training), add an item first:
Item List in the search bar).Implementation & Setup).Services.Nos, or Hour if you bill by the hour.Sales - VP).The new item is then available in the item picker on every new Sales Invoice.
Consulting Services is the starter item; add more via Selling > Items and Pricing > Item (see above) when other types of work are invoiced.
